Records are logbooks for most systems, or, for hydrant valves, lay flat hose, reels, extinguishers, blankets and passive items, tags or labels backed by a printed summary record (Table 1.16.1). Records, including pass or fail criteria, are captured at the time of service as a hardcopy logbook, an electronic log, or tags and labels with summary records; a hardcopy (paper logbook or printed and signed copy of the electronic log) is left on site at the end of the test, while a signed summary record for tagged items may follow within one week. Logbooks record the site, date and frequency of service, system identification and location, each activity with results and pass or fail, each defect or non-conformance with its classification, location and rectification, the responsible entity, and the service person's name, signature and date and company. Tags and labels are titled 'AS 1851 Service record', are golden yellow (Y15 of AS 2700) with black printing, carry figures at least 3 mm high marked in the year and month box for the activity (a dot or punched hole for the quarterly service, then code 1 for half-yearly, code 2 annual, code 3 three-year, code 4 five-year and code 5 for a recharge following use), a tag must withstand a 200 N pull, and the previous year's record is carried over when replaced. The summary record lists the equipment register, scheduled date, quantities serviced and not serviced, defects, extinguisher manufacture or last pressure test dates and the flow result of the most hydraulically disadvantaged hose reel. The responsible entity keeps logbooks and summary records on site, available at all times, for at least seven years.
