The committee must ensure full and accurate minutes of its meetings are taken and a full and accurate record of motions kept. The minutes must carry the date, time and place, who attended and in what capacity, proxies tabled, the words of each motion and the votes for and against, documents tabled, closing time and next meeting details, plus the prescribed detail for owner-submitted motions and animal requests. The secretary must give copies of the minutes and record of motions to each committee member and each owner (unless the owner opted out) within 21 days.
