Have a procedure for reviewing tenders, requests and contracts which makes sure that: the requirements are clearly set out, written down and understood; the laboratory has the resources and capability to meet them; where external providers are used, 6.6 is applied and the customer is told of, and approves, the activities to be performed externally; and suitable methods that can meet the customer's requirements are chosen. Tell the customer if a method it asks for is out of date or unsuitable. Where a statement of conformity is wanted, state clearly which standard or specification applies and which decision rule, and agree the decision rule with the customer unless the specification already contains it. Settle any difference between request, tender and contract before starting work, so that the contract suits both sides, and make sure deviations the customer asks for do not undermine the laboratory's integrity or the validity of results. Tell the customer about any departure from the contract. If a contract is changed after work has begun, review it again and inform the staff affected. Work with customers to clarify their requests and to monitor the laboratory's performance. Keep records of the reviews, of any significant change and of relevant discussions with customers.
