Where appraisal says records must be kept to meet requirements, they are captured into a records system. As a minimum, capture gives the record a unique identifier (readable by machine or by people), obtains or generates metadata at that moment, and establishes links from the record to other records, to agents or to the business. Metadata follows the authorised schema and stays linked to the record, context metadata is fixed at capture and kept as evidence, identifiers remain persistent, and each re-capture event, such as after a merger, is logged as process metadata.
