The organisation should maintain current documentation so that its OSHMS can be understood and run effectively: a manual describing how each system element is met, standard operating and safety procedures and work instructions, and the forms and records that evidence performance, with document registers or master lists. The documentation must state the scope of the system, proportionate to the policy, activities, risks and complexity. Documents and data critical to the system are identified and controlled through a written procedure covering identification, approval, issue and removal, assigned responsibilities, master lists with locations, and archiving, and documents are available at all relevant locations to the people who need them. Essential paperwork such as safety data sheets, training records and accident reports is filed for legal, certification and other purposes.
