ITIL 4 5.2.6: IT asset management

What does 5.2.6 require?

Plans and manages every IT asset (any component with financial value that can help deliver a product or service) across its whole life, to get the most value, keep costs in check, manage risk, inform decisions on buying, reusing, retiring and disposing, and satisfy regulatory and contractual obligations. Hardware is labelled, located and protected, with special care when reused or decommissioned under rules such as the WEEE Directive. Software is guarded against unlicensed use, with proof of entitlement kept and licences reclaimed when retired. Cloud assets are attached to products or groups so costs can be controlled, with funding flexible enough to add and drop instances. Client assets are assigned to individuals, with processes for devices that are lost or stolen. Activities: set up, fill and maintain the asset register and storage; control the life cycle, with other practices recording each change in status, location, attributes and assignment; supply current and historical data and reports; and audit assets, media and compliance with regulations and licence terms. Much of the policy comes from service financial management, governance and information security, and the practice gives procurement traceability and finds and tracks assets during delivery.
