The rail transport operator establishes a database identifying each rail safety worker's risk category and assessment type, the due dates for Periodic Health Assessments and any Triggered Health Assessments arising from a Fit for Duty Subject to Review determination, and any restrictions or conditions on fitness, managed in line with privacy requirements and generating reminders to supervisors and workers that are followed up. Workers and supervisors receive reasonable notice coordinated with leave and rosters: at least 10 working days for Periodic Health Assessments and non-urgent triggered assessments unless mutually varied, with no minimum for Pre-placement assessments or triggered assessments prompted by sudden concern such as an incident or a positive drug or alcohol test, which should happen as soon as possible. The written notice, modelled on the Worker Notification and Health Questionnaire, states the nature and purpose of the assessment, the consequences of not presenting or cooperating, the obligation to provide accurate information, the date, time, duration, location and examiner, the requirement to complete the Health Questionnaire beforehand (not always needed for triggered assessments), the tests to undergo before the appointment including an electrocardiograph and a non-fasting blood test for cholesterol and HbA1c for Category 1 workers and audiometry, reports from treating doctors to bring, comfortable clothing, photo identification, glasses, hearing aids and current medications or a list, and who will receive the report, how information will be managed and how the worker can access it. Shift workers' needs and language, cultural and other barriers are considered, with an interpreter or support person arranged with the health professional where needed.
